A Form to Use if You Have to Cancel an eBay Order
First of all let me say, be on top of your business and hopefully you will never have to use this form. But we all know, sometimes life ain't perfect and things happen. Sometimes our supplier is out of stock. If you choose out of stock then you get a defect. You don't want a defect. Defects are bad. What you want to do is say that the customer asked to cancel. Here is a form letter you can use to your customer which basically allows you to do just that. Now if you sell used clothes and whatnots, this is not going to work for you. If you sell those type items, this article will help you.
Here is the form to use for new items:
Hi xxx,
Thank you for your order. Unfortunately my latest shipment has arrived in a most unsatisfactory condition, and I have only just been notified by my warehouse. As we strive to give all our customers only 100% customer service, we will not send out items that do not meet our high quality control standards. I have sent a cancellation request for you to accept. We apologise for any inconvenience caused. A full refund will be issued

Once I send this message, I go into my seller hub, locate the order and select cancel order from the drop down. On the next screen,I select the reason as: buyer asked to cancel the order.
